SELECTION OF VENUE

TERMS OF REFERENCE

 

I. OBJECTIVE
To select a hotel venue for the 2014 HGC Clients Appreciation Night through Small Value Procurement.

II. SCOPE OF SERVICE

    1. Event Venue for the Clients Appreciation Night
    2. Food and Beverage

III. DELIVERABLES

1. Meals for 250 pax

  • snacks and dinner for all guests
  • may accommodate additional meal requirements, as the need arises

2. Function / Ball Room

  • Existing sound system for contingency purposes
  • Two (2) rostrums, for the regular speaker and for the VIP speaker
  • Provision for a holding area for the VIP speaker and entourage

IV. CRITERIA FOR SELECTION

  1. The venue must be located within the Makati Central Business District (CBD).
  2. The venue must be a five-star rated hotel facility.
  3. The function room / ball room must be able to accommodate at least 250 pax (up to 325 pax, as the need arises, in case of overspill).
  4. The venue must be available on the 27th of August 2014.
  5. The offered venue and package cost must be most advantageous to HGC.

V. APPROVED BUDGET FOR THE CONTRACT
The approved budget for the contract is Four Hundred Fifty Thousand Pesos (PhP450,000), inclusive of VAT.
