SELECTION OF VENUE
TERMS OF REFERENCE

I. OBJECTIVE
To select a venue for the 2014 HGC Annual Planning Workshop through Small Value Procurement.

II. SCOPE OF SERVICE

  1. Planning Workshop Venue
  2. Room Accommodations for participants
  3. Food and Beverages

III. DELIVERABLES 

  1. Accommodation for 2 days and 1 night
    • 9 persons in single occupancy rooms
    • 38 persons in maximum sharing rooms
    • 15 persons in drivers’ quarter
  2. Meals for 47 participants
    • 1st day (Buffet Breakfast, AM Snacks, Buffet Lunch, PM Snacks and Buffet Dinner)
    • 2nd day (Buffet Breakfast, AM Snacks and Buffet Lunch)
    • Flowing Iced Tea/Soda/Juice during Lunch and Dinner
    • Provision for socials for the participants
    • Flowing Coffee/Tea and candies during sessions at the function room
  3. U-Shape Function room that can accommodate at least 50 participants
    • Public Address System and connector for the laptops.
    • White Board with Marker.
    • Microphones.
    • Eraser, pads and pencils.
    • White screen for Projector.
  4. Wi- Fi Internet access

IV. CRITERIA FOR SELECTION

  1. The venue must be within or near the Clark Freeport Zone or Subic Bay Freeport Zone.
  2. The offered accommodation and package cost must be most advantageous to HGC.
V. APPROVED BUDGET
The approved budget is Four Hundred Seventy Thousand Pesos (P470,000.00), inclusive of VAT, chargeable against the Corporate Operating Budget for CY 2014.
